Subject: | Use of Social Security Numbers for State Employee Travel and Tuition Reimbursements |
Incidents of identity theft have caused increased concern about the security of an individual's Social Security Number. Comptroller's forms used for employee travel and tuition reimbursements currently require Social Security Numbers. These forms are passed through several hands while being processed.
Since the Social Security Numbers of state employees are on file in the Payroll Services Division, Social Security Numbers will no longer need to be entered for state employee reimbursements paid through payroll using AGENCY FUNDS. However, the correct Employee Number must be entered on the form to ensure reimbursement to the correct employee. The space for Social Security Number should be left blank.
Please note that this new procedure applies to reimbursements paid from agency funds using Form CO-17XP-PR.
Reimbursements paid from 9916 Union Tuition and Training Funds will still require the employee's Social Security Number to be entered.
